An image database is, in a business context, a company’s own central repository where images are stored in a structured way, tagged and made searchable for teams. Alongside the image files it manages metadata, usage rights and versions. It is distinct from public stock photo databases, where users search for and license ready-made images.
What types of image databases are there?
The term covers two fundamentally different things: portals where you search for other people’s images — and software for managing your own. The overview:

Which image database is the best?
There is no single best image database — the right solution depends on inventory size, team size and processes. Instead of a ranking, use criteria: How large is the inventory today and in three years? How many users and external partners need access? Which systems (shop, CMS, PIM) must be connected? How important are rights management, workflows and automation?

Where can I find free image databases?
Free image databases are public portals offering images at no cost — platforms with CC0 or comparable open licences, and public archives with public-domain collections. They serve a different need than this page, though: there you search for third-party images to use; here it is about managing your own inventory.
Two practical notes: even “free” images come with licence terms (attribution, restrictions around people, trademarks and commercial use) — the respective portal’s terms apply. And once downloaded stock images are reused inside the company, they belong in your own image database together with their licence records; otherwise the legal situation becomes untraceable within a couple of years.
How do you build your own image database?
Building one takes four steps — and starts with structure, not software:
- Audit and consolidate: Where do images live today (servers, cloud folders, laptops, agencies)? Remove duplicates and outdated versions; define the leading inventory.
- Define structure and vocabulary: Categories, keyword vocabulary, mandatory fields (e.g. source, rights, expiry date) and naming conventions — before the import, not after.
- Select the system and import: Choose a solution against the criteria above; preserve embedded metadata on import and apply the vocabulary. A clean partial inventory is worth more than a complete untagged one.
- Anchor the processes: Define who uploads, who tags, who approves — and communicate the image database as the single authoritative source. Without this step, the old shadow folders grow back.

Image rights live as metadata directly on the image: creator and source, licence type, permitted uses (channels, regions, periods), model and property releases, and expiry dates. Good systems make these fields mandatory on import and warn before a licence expires.
The effect is tangible: before every use you can verify whether a visual is cleared for the channel — and expired images can be blocked systematically rather than discovered by accident. FAQ — Frequently asked questions about image databases
Is a shared cloud folder enough as an image database?
For very small inventories, briefly yes — permanently, no. Folder structures enforce exactly one filing logic, offer no tagging, no rights management and no versioning. Beyond a few thousand images and several users, folder storage collapses into exactly the chaos an image database is meant to prevent.
What does a professional image database cost?
The range depends on users, storage volume and feature depth — from low double-digit monthly fees for lean cloud tools to four- or five-figure annual amounts for DAM systems with workflows and integrations. More important than the list price are the costs of the alternative: search time, duplicate licence purchases and re-shooting images that already existed.
Can an image database manage videos and documents too?
